YOUR DATA & PRIVACY
1. Online entries to the National Veteran Championships are made using software supplied by a GDPR compliant third party. Paper entries received by the VHS will be loaded onto the same third party software which is then used to produce all the necessary show paperwork. It is a condition of entry that all competitors entering the National Veteran Championships consent to their data being shared with the third party.
2. The Veteran Horse Society will hold your information within our system for an indefinite period as VHS membership numbers are unique to each individual member rather than their horse/pony.
3. The Veteran Horse Society may publish results from any/all classes held at the National Veteran Championships, including competitor’s names and their horse/pony names and ages and final positions. This data may be made public and shared with third parties for publication. Competitors consent to their data being shared for this purpose.
4. The Veteran Horse Society may publish photographs from the National Veteran Championships for publicity purposes and competitors consent to photographs of themselves and their horse/pony being used for this purpose.
5. Horse & Country will be onsite, both recording and live streaming the event. Film footage from the event may also be used by the VHS and third parties for publicity purposes after the event. It is a condition of entry is that competitors consent to their inclusion in this filming and also to its use in public. Parents / guardians of any competitors under 18 years of age consent to this on behalf of the competitor, as a condition of entry (see General show rules, rule 3)
GENERAL SHOW RULES
1. This show is run in accordance with Veteran Horse Society rules. Please refer to VHS Rulebook and also visit the VHS website where any amendments/updates will be published.
2. By entering any class at this show, the competitor agrees to abide by all aspects of Veteran Horses Society rules, including those in the VHS Rulebook and those explicitly outlined in this schedule.
3. Exhibitors under the age of 18 must have the declaration on the entry form signed by a parent/guardian.
4. Failure to observe any of the rules may result in disqualification of the horse/pony concerned and/or the Exhibitor may be requested to leave the showground immediately, forfeiting all monies paid for stabling, entry fees or monies won.
5. Exhibitors are required to have a minimum of £2m public liability insurance cover for their exhibits and it is strongly recommended that the exhibitor fully insure their personal property whilst attending the Championships.
6. The VHS operates a zero tolerance to offensive, abusive or unpleasant behaviour whether it is directed to its officials, members or others. Any person found to be acting in this unacceptable manner will be asked to leave the showground and may be subject to disciplinary actions. Should an individual be ejected then all monies paid for stabling, entry fees or monies won will be forfeited.
7. The VHS has a commitment to the protection of equines from any form of abuse, whether it is from misuse of a whip, inappropriate or ill-fitting tack/equipment, the restriction of fresh water or forage or any other abuse. A Welfare Officer will be present at the show and will investigate any concerns raised to the organisers.
8. All exhibitors are asked to be aware of animals on the showground and ensure that all exhibits are fit and well. If anybody has reason to believe that a horse/pony is unfit or unwell, they must report this to the organisers immediately.
9. All horses to be accompanied by a valid equine passport which must be produced upon request.
10. Entries will not be accepted without full payment.
11. All entry fees are non-refundable. In exceptional circumstances, on the submission of a written request with corroborative medical or veterinary certification, then the Show Secretary has the discretion to award a full or partial refund of entry fees. In the event of the show being cancelled by the organisers, competitors will be entitled to a full refund of all entry fees paid, less any booking fee charged by the online entry provider.
12. Please notify the show office of any class withdrawals as soon as possible. Classes are capped and often fully subscribed. Notifying the office of any withdrawals allows other competitors to enter these classes. No refunds are given for general withdrawals, see rule 11. However, any class withdrawals made with the show office before 4 pm on the Saturday of the show will receive a strip of raffle tickets per class withdrawn from. See schedule for details of raffle.
13. Class swaps made before close of entries will be charged at £10 per swap. No class swaps will be accepted after close of entries. Additional showing class entries will still be accepted, space permitting, and will be subject to late entry fees.
14. Any cheque which fails to clear will be subject to a £25 administration fee for each occasion it has to be represented. If contact is made with the Show Secretary and cash forwarded then mounting representation charges can be avoided.
15. Competitor numbers can be collected from the Show Office on the day, see published show office opening times.
16. Horse/Pony age badges should be worn in all classes. Age badges are supplied with show cards or can be ordered directly from VHS Head Office. A limited supply will be available for purchase from the Show Office on the day – purchase via the sundries section of the online entries system.
17. The VHS has the right to refuse entry of any individual to any class without explanation.
18. The VHS has the right to limit entries, change, cancel, split or amalgamate classes as they see fit.
19. The organisers cannot be held responsible where a competitor has entered more than one class and a clash occurs. Whilst every reasonable effort will be made to allow competitors to compete in both classes, this may not always be possible. The judge’s decision is final.
20. All competitors are reminded that whilst the Show Secretary will make all reasonable effort to support individuals where classes have clashed, it is ultimately the competitor’s responsibility to decide which class they will compete in. Judges will be advised of the desire to accommodate all competitors, but classes cannot be held up in order to wait for late competitors. For showing classes, competitors must be in the ring before the command to trot is given for the group go round. At the judge’s discretion, a competitor may be permitted to leave the ring once they have completed their individual show, in order to allow them get to another class. Should the judge allow a competitor to leave, the competitor must allocate a representative to collect any rosettes/prizes due, on their behalf during the class presentations. Any rosettes/prizes not collected at the time will be forfeited.
21. It is mandatory for all competitors to wear correctly secured riding hats to the current Showing Council hat policy standards (viewable at www.theshowingcouncil.co.uk), at all times when mounted, with the exception of side saddle exhibits where SSA rules apply (with the only exception that no spurs or spur bands are allowed) and rule 22.
22. Alternative headgear for Costume concours d’elegance classes, SSA affiliated classes, Foreign Breed classes, Saturday Evening Performance & Supreme Final classes only – as stipulated in class wording:
It is strongly advised that all competitors wear correctly secured riding hats to the current Showing Council hat policy standards (viewable at www.theshowingcouncil.co.uk) and it is mandatory for all competitors under the age of 18 to do so. Adults not wearing such hats do so at their own risk and must lodge a disclaimer form with the Show Office by close of entries, stating their acceptance of the risk. A specific wristband will be provided by return and must be worn by the rider to show the disclaimer has been lodged. Failure to show the required wristband on request may result in disqualification.
Disclaimer forms are available on the VHS website or may be requested by emailing champs@veteran-horse.society.co.uk. Completed and signed forms should be emailed to the same email address by the close of entries.
Choice of headgear will not affect marks in any way.
23. Evening dress is preferred (but not mandatory) for the Saturday Evening Performance and all Supreme Finals.
24. In SSA affiliated classes, where there is a conflict between SSA and VHS rules, then SSA rules will take precedence (with the only exception that no spurs or spur bands are allowed in any class).
25. Spurs are not permitted to be used in any circumstances at this show, including around the showground and in the warm up arenas.
26. Body Protectors may be worn and are recommended whilst competing in jumping classes.
27. Practice fences may not exceed the maximum height of the current jumping class.
28. Motorbikes and quad bikes are not be permitted on the showground.
29. Bicycles and scooters must not be ridden near rings or horses.
30. Buggies and mobility vehicles may not be driven around on the showground, unless an exemption has been granted in writing by the organisers. Only exhibitors with a medical disability will be granted dispensation. All persons must be over 18 years of age and have a valid licence and appropriate insurance.
31. No alcohol may be brought into any of the buildings on site, unless it has been purchased on the premises.
32. Dogs are not allowed into any of the buildings on the showground. Dogs are to be kept on a lead at all times when on the showground. Any loose dog will be impounded and their owner fined £40 on its return. All owners/handlers are required to clean up after their dog(s) and anyone failing to do so will be fined £40 and may be asked to leave the showground immediately. All fines will be donated directly to Veteran Equine Trust charity No: 1104072.
33. The organisers do not accept any liability for any accident, injury, loss, damage or illness to any riders, handlers, spectators, helpers, horses, ponies or to any property whatsoever and howsoever caused.
34. Whilst the VHS Show team take Health and Safety very seriously, they look to all those in attendance to support them and to play their part in keeping any risks and potential accidents to an absolute minimum. Any concerns to this effect must be raised without delay to the Show Office. We accept that riding, leading and generally being around horses has inherent risks, so please work with us to keep risk to an absolute minimum. All competitors compete ultimately at their own risk.
35. The VHS complaints and disciplinary procedure apply, as set out in the VHS Rulebook.
36. No lunging in arenas.
37. No emptying of water tanks, waste or rubbish onto car park or surrounding areas. Please dispose of in appropriate locations – the venue will assist with this if required.
38. No mucking out onto car park – please use official muck heap areas.
39. Facilities and the venue at Arena UK must be treated with respect at all times. This includes, but is not limited to, the stables, car parks, eating establishments, camping areas, showers and toilets. Rubbish should be suitably disposed of in bins provided. Any issues with facilities should be reported to the stable manager or an official as soon as possible.
40. CCTV is in operation and monitored by Arena UK.
41. Arena UK’s vaccination policy requires all horses/ponies to have been fully vaccinated against Equine Flu within the last 12 months.
42. No horse should be brought onto the showground if there is any question that it may not be completely healthy.
43. Travelling and showing uses considerable energy for all horses/ponies; and competitors must be mindful of this at all times. Competitors must ensure the number of classes participated in does not compromise the welfare of the horse/pony. This will be monitored and the show organisers reserve the right to refuse entry on the day for any horse/pony for which there is concern.
44. Diamond veterans (aged 25 or over) may compete in a maximum of 2 ridden classes per day, plus any championships qualified for from these ridden classes e.g. evening performance championships.
45. The Welfare Stewarding Team will be in attendance at the show once again, looking to promote good welfare and encourage best practices. It is a condition of entry that should the Welfare Stewarding Team wish to discuss any welfare aspects relating to a competitor and/or their veteran, the competitor will comply willingly with this request. Any such requests will be made discretely. The competitor will be handed a Welfare Stewarding Team card containing a request to meet with representatives of the Team at a designated location within 30 minutes of receiving the card. Any competitor failing to comply with this request will be asked to leave the showground, forfeiting any monies paid for stabling, entry fees or monies won. They may also be subject to disciplinary actions. Competitors receiving a card from the Welfare Stewarding Team may not compete in any class until cleared to do so following their meeting. Please note that the Welfare Stewarding Team may request to meet with a competitor for any number of reasons and it does not automatically follow that the competitor will be prevented from competing further.
46. For award/prizes offered for a specific criteria (e.g. the oldest in the class), in the event of a tie, the award/prize will be given to the highest placed / best of the eligible exhibits. The judge’s decision is final.
47. Any rosettes, prizes, prize money, trophies, score sheets, CDs or awards not collected before the end of the show will be forfeited.
Stabling
BOOKING & PRICES
1. Stabling and electric hookup is managed by Arena UK and not the Veteran Horse Society.
2. Booking and payment of stabling and electric hookup is to be made directly with Arena UK using their online booking system:

3. Stabling and electric hookup bookings open 09:00am, 1st June.
4. Stabling fees for National Veteran Championships at Arena UK:
- VIP Barn stables @ £105 (3 nights) – covered boxes, adjacent to main arena.
- Gold stables @ £95 (3 nights) – permanent stables
- Temporary stables @ £90 (3 nights), £58 (1 night)
- Electric hookup @ £90 (3 nights), £30 (1 night)
5. Stabling is subject to availability and early booking is advisable.
BEDDING / FEED
1. Stables will be supplied empty, with no bed provided.
2. Bedding permitted: shavings or straw.
3. Competitors may bring their own shavings bedding, hay and/or haylage.
4. Shavings and haylage (no hay) are also available for purchase on arrival. Straw is not always available for purchase – please enquire.
5. Exhibitors must supply/purchase their own hay/haylage, bedding, feed, water containers and mucking out equipment as these are not provided.
ARRIVAL PROCEDURE
1. Please report to stable manager on arrival (stable manager’s office is located on the entrance drive).
2. No arrivals will be accepted before 1pm on Thursday.
3. No arrivals after 9pm on any day. If this is unavoidable, then the stable manager must be contacted in advance on the day of arrival (not before) in order to book in and obtain stable numbers. The stable manager can be contacted via the Arena UK on 07950 250729.
4. The main gates to the venue will be closed one hour after the last class of the day has finished. Access required after this will have to be requested via the intercom.
5. A £20 (cash only) mucking out deposit per stable will be requested by the stable manager on arrival. This deposit will be refunded on departure, providing you leave your stable mucked out (empty of bedding) and clean.
6. Horses/ponies must not be corralled on the showground or left in horseboxes overnight in any circumstances.
